What EXTREME keeps about you, why, who else sees it, and how to get it changed or removed. Plain words, no tricks.

Who we are

EXTREME is a volunteer-run gaming community, not a company. The leadership of the community runs this website, our Discord bot and the EXTREME desktop app, and decides what is kept and why.

The website, the bot and their database run on a virtual server we rent from netcup, a hosting provider based in Germany.

What we keep, and why

We keep what the features you use need, and nothing to sell or to profile you.

  • Signing in with Discord: your Discord user id, username, display name and avatar, plus your roles in our Discord server. The roles decide what you can open (member, officer, leader). We ask Discord only for your identity and your membership details in our server, never for your email or your messages.
  • Rosters and characters: the character names, class and item level that officers or you put on a roster, and the public sheet of that character read from NCSOFT's official armory (gear, item level, combat power). We keep a history of those figures, and we notice when a sheet changes, which is how we tell that a character has been played recently.
  • Events and attendance: your RSVPs, and for events in our Discord, how long you were in the voice channel during the event.
  • Applications to join: your answers, your Discord id and name, the decision, and the private Discord thread where the officers talk to you.
  • The Discord bot: for members, the time of your last message in our server. We do not store what you wrote. The one place where the bot reads message text is your own application thread, and only for the onboarding assistant described below.
  • Timer alerts: which timers you picked, your alert settings, and, for each browser or phone you switch push notifications on in, the address and keys that browser's push service gave us. If you turn on the calendar feed, a private link token.
  • The EXTREME desktop app: a device token for each PC you connect, and a label for it. If you choose to share your best results with the guild, we keep your own best results per boss (damage, kill time, item level, combat power). Names of other players seen in a fight stay on your PC. If you ask the app to post a fight card, the card's job holds the party's in-game names until the bot has posted it, and is deleted afterwards.
  • Streamers: for people listed as streamers, their public stream details from Twitch or Kick. A press on a Watch button is counted as one more visit for that day and streamer; we store no address and no account with that count.
  • Party Finder, when it launches: the parties you start or join, shown in our Discord forum and on the site.
  • Server logs: our server keeps a log of sign-ins, of changes made in the dashboard and of requests it refused, with the time, the account if there is one, what was asked and the IP address. It is a file that rotates by size, so old lines disappear on their own.

Cookies

All our cookies are functional. They make sign-in work or remember a choice you made. There is no advertising, no analytics and no tracking script on this site, so there is no cookie banner. Nothing is sold or shared for marketing.

  • extreme_session: keeps you signed in. Set only when you sign in with Discord, lasts thirty days. A second short-lived pair (extreme_session_state and extreme_session_return) exists for ten minutes while you sign in.
  • extreme_intro, extreme_journey and extreme_sound: remember that you have seen the homepage gate, whether you watched the whole film, and whether its sound was muted. The first ends with your browser session, the other two last a year.
  • extreme_locale: your language choice, a year.
  • extreme_scope: the game you narrowed the member dashboard to, a year.
  • extreme_live_dock: that you closed the on-air card for the current stream, a day.
  • The site also installs a small service worker in your browser, only if you switch push notifications on. It does not cache anything or track you.

Who else is involved

Some parts of the community only work through other services. This is every one of them:

  • Discord: sign-in, our server and the bot. Discord's own privacy policy applies to what you do there. Your avatar is loaded from Discord's servers.
  • NCSOFT: we read the public armory pages of characters that officers link to a roster. We also read the public armory of a few hundred top players to know what gear is worn in the game; no account is needed for that.
  • Twitch and Kick: we read public stream information for listed streamers. A stream's still picture loads from them. A stream or clip player loads from them only when you press play, and then their policies apply.
  • YouTube: a video on the media page loads from YouTube's privacy-enhanced player only when you press play. Until then your browser only sees a still picture that our server fetched.
  • Your browser's push service (Google, Apple or Mozilla, depending on your browser): it delivers the notifications you asked for.
  • OpenAI: when the leadership switches the onboarding assistant on, the messages an applicant writes in their own application thread are sent to OpenAI's Codex (through ChatGPT) so it can draft a reply. The assistant stores nothing itself. It is off unless the leadership turns it on, and it answers only in application threads.
  • netcup: the company that rents us the server.

How long we keep it

While you are a member. Losing the member role in our Discord removes your roster rows (and the sheet history and attendance that hang on them) and your connected desktop apps. Your sign-in account itself stays until you ask for it to be deleted.

Some things clean themselves up: a desktop app nobody has opened for a while (90 days by default) is disconnected, Watch-link counts are kept for 30 days by default, an armory history keeps one year by default, and fight card jobs are deleted once posted.

Your rights

You can ask us to show you what we hold about you, to correct it, or to delete it, and we will do it. There is no download button for this yet: ask the leadership on Discord and we will send it to you.

If you think we handled your data badly, you can complain to the data protection authority of your country. In Romania that is ANSPDCP (dataprotection.ro).
